Organisation: Phoenix Cultural Centre CIC (PCC) with some work relating to Fiery Bird Live Music Venue
Location: Woking,
Hours: 0.3 FTE (12 hours per week)
Salary: £9,672 per annum (£15.50 per hour)
Contract: One-year fixed-term contract (12 months)
Annual Leave: Statutory (5.6 weeks per annum pro rata) 67.2 hours per annum
Reports to: CEO

About Phoenix Cultural Centre CIC
Phoenix Cultural Centre CIC (PCC) is a community-led, not-for-profit organisation providing an inclusive, affordable cultural, training and community space in Woking. We create opportunities for people to come together, participate, learn, develop skills, improve wellbeing and contribute to their community.
PCC also runs Fiery Bird Live Music Venue, a grassroots music venue providing opportunities for musicians, performers and audiences to participate in live music and other creative activities.

About the role
We are looking for an organised, approachable and enthusiastic Volunteer Coordinator to join our team in a newly created role.
Volunteers play an important part in making Phoenix Cultural Centre and Fiery Bird possible. The Volunteer Coordinator will be responsible for supporting volunteers throughout their involvement with the organisation, from recruitment and induction through to ongoing support, development and recognition.
The role will coordinate volunteer rotas and event cover, maintain accurate volunteer and training records, monitor volunteer involvement and help ensure that our policies, safeguarding responsibilities and operating standards are understood and followed.
This is a hands-on role for someone who enjoys working with people from a wide variety of backgrounds and can combine a welcoming and supportive approach with strong administration, clear expectations and appropriate professional boundaries.
Key responsibilities
Coordinate the recruitment, induction, support and development of volunteers.
Help volunteers understand their roles, responsibilities and the support available to them.
Coordinate volunteer rotas and event cover across Phoenix Cultural Centre and Fiery Bird.
Maintain accurate volunteer records, training records and other relevant information.
Monitor volunteer involvement, attendance and development.
Communicate regularly with volunteers and relevant members of the team.
Help ensure volunteers receive appropriate information, guidance and support.
Support the organisation to provide a welcoming, inclusive and positive volunteer experience.
Help ensure safeguarding, confidentiality, data protection, equality and health and safety requirements are understood and followed.
Identify and communicate any concerns, support needs or issues requiring further guidance.
Contribute to improving volunteer systems, processes and opportunities.
Work collaboratively with staff, volunteers, trainees, artists, community partners and members of the public.
Undertake other reasonable duties appropriate to the nature and level of the role.
Essential skills, knowledge and experience
We are looking for someone with:
Experience of coordinating, supporting or supervising volunteers, staff, trainees or community participants.
Strong organisational, administrative and record-keeping skills.
Confidence using spreadsheets, databases and standard office software, with a willingness to develop these skills further.
Experience of managing rotas, deadlines and changing priorities successfully.
Excellent written and verbal communication skills.
The ability to work independently and to know when it is necessary to seek further guidance.
The ability and confidence to welcome and work with people from a wide range of backgrounds and with different levels of experience and support needs.
An understanding of the importance of safeguarding, confidentiality, data protection, equality and health and safety.
A commitment to working in an ethical, equal, inclusive and welcoming way.
The ability to maintain appropriate professional boundaries while providing supportive and respectful guidance.

Working arrangements
The role is based on site at Phoenix Cultural Centre and Fiery Bird Live Music Venue in Woking. Some administrative tasks may occasionally be undertaken remotely by prior agreement.
This is a 12-hour-per-week, part-time role on a one-year fixed-term contract.

Safeguarding and DBS
Our volunteer population may include children under the age of 18 and adults who may require additional safeguarding support. Due to the nature of the role, the successful candidate will be required to undertake an Enhanced DBS check through the Disclosure and Barring Service.
